Getting Paid: Paylocity Onboarding


To get paid for your work with Zen Educate, you must complete the payroll onboarding process through our payroll provider, Paylocity.


How to Onboard


  • After your first day of work, you will receive an invitation to onboard with Paylocity.
  • The onboarding email will come from do-not-reply@paylocity.com  and will include your Company ID (341360), a User Name, and a temporary password.
  • Please check your junk/spam folder if you do not receive the email.
  • If you have not received your invitation by the end of your first work week, please contact the Zen Educate support team.

Having trouble with onboarding?


  • Use the correct link and platform: To complete onboarding, please use the Paylocity web platform and this specific link: https://onboarding.paylocity.com/onboarding/. The mobile app does not have all the required functions for initial onboarding.
  • Log in with the right information: Ensure you are using the correct Company ID (341360), User Name, and password provided in your initial onboarding email.
  • Forgot your password? If you have forgotten your password, a password reset can be requested. This will send a new email with updated login details.

If you were previously paid through Gusto


  • If you worked with Zen Educate before September 2025, your pay information was migrated from our previous provider, Gusto, to Paylocity.
  • You are already set up to be paid, but you need to create your Paylocity account to view and edit your pay information.
  • To register, you can use the one-time registration email from do-not-reply@paylocity.com  or navigate to https://access.paylocity.com/Register  and provide some personal information to verify your account.
  • The Company ID is 341360.
  • If you receive an error stating your details do not match, please contact the Zen Educate support team.

When do I get paid?

You are paid weekly, in arrears, on Fridays by 5:00 PM. This means you will be paid for the hours you worked this week on the following Friday.


Can I get paid by check?

Yes, you can be paid by check by removing any direct deposit details from your Paylocity account. However, we highly recommend using direct deposit, as mailed checks can be difficult to track and may be delayed due to USPS.


Who is my employer?

Zen Educate is your employer.


Where can I access my timesheets?

Timesheets can be accessed on the Zen Educate web platform.

  • Log in to your educator profile and navigate to the "timesheets" section to review your hours broken down by week.
  • Please note that timesheets are not accessible on the Zen Educate mobile app at this time.

What if my payment is incorrect or missing?


If you believe your payment is incorrect or missing, please ask yourself the following questions:

  1. Have you completed your Paylocity onboarding? You will not be paid if you have not finished this process.
  2. Do the hours on your timesheets look correct? Are there any missing hours that might have affected your pay?
  3. Do the hours on your payslip match the hours on your timesheet for the prior week? Remember, we pay one week in arrears.
  4. Can the discrepancy be explained by tax deductions? You can review and edit your W-4 in your Paylocity account.
  5. Have you had any absences that may have affected your hours?

If you have confirmed that your payment is incorrect or missing, please contact the Zen Educate support team with the relevant details, including your profile information and the reason for the mispayment.


When will I be paid for training or reimbursed for tests?

You will receive reimbursement for your onboarding training or live scan tests on your first paycheck.
